Why CRM Data Hygiene Matters in Schools

Clean and accurate data in your school CRM is a common ‘point of leverage’ that I talk about in the enrolment journey ecosystem. When your data is clean, it makes every other effort (campaign, email communication, automation flow, follow up calls, reporting) more efficient and more effective.

What Happens When Your CRM Gets Messy

All CRMs get messy over time. Test data, duplicates, outdated records creep in – which makes reporting to leadership near-impossible, adds administrative time to basic tasks like sending out segmented emails, and introduces unnecessary risk into your communication.

A few years ago, I was a little slack in my dentist check-ups. Sure enough, when I finally got around to it, what should have been a regular clean was a long and uncomfortable process (I’ll spare you the details). Now, I’ve locked in 6-monthly checks, and the clean is always quick and pain-free. Much like dental hygiene, CRM hygiene is easy to put off. But the longer you leave it, the more painful it gets to address.

That’s why before we help a school launch any campaign or communication initiative, we start here. Staring at a messy CRM can be an overwhelming feeling, so I’ve kept this checklist intentionally simple.

School CRM Clean-Up Checklist

This checklist applies whether you’re using Digistorm Funnel, OpenApply, EnrolHQ, or any other school CRM.

1. Remove dummy or test data
2. Merge/remove duplicate records (check students and families)
3. Close any enrolled students
4. Close any ‘cold’ leads (I usually consider no activity/response for >12 months to be cold)
5. Check that all records are in the correct pipeline stage
6. Check that the entry year of each record is assigned to the correct year (E.g. no 2024 entry years in 2025)
7. Ensure all records ‘roll over’ to the following entry year at the end of your school year

Build CRM Hygiene Into Your Routine

CRM hygiene certainly isn’t the most glamorous undertaking, but it is a hugely valuable habit to build into your team. The more often you do it, the quicker it gets, too. Clean data builds trust in your tools, gives you confidence in your reporting, and clears the way for more meaningful parent communication.

So, treat it like your dental check-up: quick, regular, and preventative. Twice a year is a great start.
